Invitations show when they expire, and an expired invitation no longer holds a seat. ## The seat line Open **Organization Settings** and look under **Members**. A line shows how many seats are in use, such as **1 of 3 seats used**. An invitation that has not been accepted yet holds a seat and is counted as pending: **2 of 3 seats used · 1 pending**. When every seat is taken, the line turns red and reads **3 of 3 seats used · 2 pending — add a paid seat from Billing to invite more**. The **Invite** button is greyed out, with the tooltip **Seat capacity reached**. The Members section of Organization Settings. The seat line of a full organization. 2. **Invite** is greyed out until a seat is free. ## The invite window The **Invite member** window shows the number of free seats under **Invite by email**. It checks each address when you leave the box. The Invite member window. Under Invite by email it reads 2 free seats. The email box holds abc and shows Invalid email format under it. 1. The free seats left in the organization. 2. The message under an address that cannot be invited. | Message | Meaning | | - | - | | **Invalid email format** | The text is not an email address. | | **Already a member** | That person is in the organization. | | **Invitation already sent** | That address has an invitation that is still pending. | | **Invitation expired**, with **Resend it** | That address has an invitation that ran out. Click **Resend it** to send it again. | **Add more user** is greyed out, with the tooltip **No more free seats**, when the rows in the window already use every free seat. ## Pending invitations An invitation appears in the **Members** list with the tag **Pending** and the time left, such as **expires in 7 days**. The seat line counts the invitation as pending. 2. The invitation row, with the envelope icon and the **X**. * The envelope icon (**Resend invitation**) sends it again and shows **Invitation resent to** with the address. * The **X** asks **Cancel this invitation?** and warns **The invite link will no longer work.** Click **Cancel invitation**. The message **Invitation cancelled!** appears, and the seat is free again. A small box over the Members list that asks Cancel this invitation? The invite link will no longer work. It has the buttons Cancel and Cancel invitation. ## Expired invitations An invitation that has run out moves under the heading **Expired invitations · don't hold a seat**. It has the tag **Expired** and the date it ran out. It is no longer counted on the seat line, so its seat can go to someone else. The Members list with a group named Expired invitations, don't hold a seat. One row in it has the tag Expired and reads expired Oct 7. The seat line reads 2 of 3 seats used, 1 pending, and the Invite button is enabled. 1. The seat line no longer counts the expired invitation. 2. The expired invitation, under its own heading. 3. **Invite** is enabled again. To send an expired invitation again, click the resend icon on its row, or type the address in the invite window and click **Resend it**. The invitation is **Pending** again and holds a seat. The message for an address whose invitation ran out. 2. **Resend it** sends the invitation again. If the organization has no free seat, the resend icon is greyed out, with the tooltip **No free seat — add one from Billing to resend**. The Members list of a full organization. The seat line of the full organization. ## Accepting when the organization is full A person who accepts an invitation while the organization has no free seat is not added. They see a page that names the organization and says it **is out of seats**. A page that reads QA seats is out of seats. Under it: The organization needs more seats before you can join. Ask its administrator to add a seat, then try again. Your invitation stays valid until 15/10/2026. Two buttons: Try again and Go to Home. The page says the invitation stays valid and gives its last day. After the owner frees or adds a seat, **Try again** lets the person in. ## Current guide This page describes the feature as it was released.
